Reporting Checklist
At the end of a term or a semester, it’s useful to have a list of things to check and ensure that you’ve done. Not all of the following apply to every scenario, but hopefully this is a useful list to help you cover every base. If there is something that you would like us to add, please email it through!
- Aggregated Result Calculations are used to calculate Year-to-Date and final year marks in ADAM.
- Create the necessary calculations to tell ADAM how to calculate a final year mark for each subject. This is most commonly done as a single calculation for a “whole grade”, but it can be done for a specific subject in a grade.
- Assign the calculations in either the reporting period settings, or override those for specific subjects by choosing a calculation in the mark book screen.
- Check the period end-date carefully when setting up your reporting period. This date cannot be changed once it has elapsed. Note that after this date, any class changes are considered to only be in force for future reporting periods and so it is crucial that your class lists are accurate before the end-date passes.
- Check the publish date - this is the date and time that reports go live automatically on the parent and pupil portal, if enabled.
- For each grade:
- Check your aggregate calculation to calculate an overall average across the subjects for each pupil.
- Check the assigned qualification to ensure that the correct symbols are generated.
- Check that the correct behavioural indicators are set.
- Check that the correct template is set. Change any grades not getting reports in that reporting cycle have their template set to “No Report”.
- Check that the subjects are properly ordered.
- Check the weighting of subjects particularly when using weighted averages of subjects to calculate each pupil’s aggregate.
- Check that the correct Learning Outcomes and Assessment Standards have been enabled for the reporting period.
- Check that the classes have the correct enrolments - particularly if you do not use ADAM’s mark book (if you do, your teachers will notice sooner that people are missing!).
- Parent and Pupil Portal
- Review the privileges and ensure that parents have the privilege to view reports.
- Ensure that pupils are assigned to the correct privilege groups. Double check those that might have had their privileges changed due to non-payment of fees etc.
- As before, review the privileges and ensure that parents have the privilege to view reports on the portal. Even if you do not make use of the portal, ensure that they have this privilege otherwise ADAM will not email them their report.
- Do a dummy run!
- Make sure that you choose the option to refresh the archived copy as you send the reports to prevent possibly old versions of reports.
